Intersight First-Time Set Up (For Enterprise Administrators)
This article shows the Enterprise Administrator the steps and configurations that need to be completed before inviting other users into the system.
Head to the Settings, then select the "Connections" tab to get started.

1. Integrate with a CRM System (Required)
Intersight supports integration with the following CRM systems:
- Salesforce CRM
- See this article for Salesforce CRM setup details.
- Hubspot CRM
- See this article for HubSpot CRM setup details.
You may only connect with 1 instance of 1 CRM system at any given time.
2. Import Historical and Ongoing Call Transcripts (Required)
By connecting Intersight with your video conferencing, conversation intelligence or AI meeting transcription services, Intersight will automatically ingest historical and ongoing meeting transcripts from your sales reps' meetings. Our AI uses this data as context to deliver revenue insights, sales guidance and assistance to your users. Intersight AI uses this data to:
- Generate guidance for your sales reps’ current deals
- Suggest deal risk mitigation actions,
- Suggest values for CRM fields updates
- Draft deal-specific documents and email messages
- Generate in-depth reports on individual deals, cohorts of deals, and sales reps' performance
Supported services:
- Zoom
- See this article on how to connect Intersight with Zoom.
- Gong
- See this article on how to connect Intersight with Gong.
- Fireflies
- To ingest historical recordings from Fireflies, follow the instructions to request export of your data from Fireflies (Data Export Guide – Fireflies Article). Once you have exported data from Fireflies, upload any desired transcript text files to a document sharing solution (e.g. Dropbox, Box, Onedrive, etc.) and create a sharable URL and share it with your Intersight Customer Success Manager.
- Chorus:
- This is coming soon and we'll provide instructions once this is complete.
If you have other ad-hoc call recordings or transcripts that you'd like to import to Intersight, you can upload those to any file sharing system of your choice (e.g. OneDrive, GDrive, Box, etc.) and create a sharing URL. Simply provide that URL to your Intersight Customer Success Manager.
3. Email Setup (Recommended)
Intersight can ingest historical and ongoing email threads from your sales reps and make this data available as context for our AI system to deliver insights and assistance. This data is used by our AI to:
- Generate guidance for your sales reps’ current deals
- Suggest deal risk mitigation actions,
- Suggest values for CRM fields updates
- Draft deal-specific documents and email messages
- Generate in-depth reports on individual deals, cohorts of deals, and sales reps' performance
If your CRM system is already linked to your emails, Intersight will automatically import and analyze these emails for you. You can skip the steps outlined below.
If your CRM is not linked to your email, you will need to integrate Intersight with your email service provider to analyze your emails.
Note: Intersight will only analyze the emails of connected users (e.g. specific sales reps). Each sales rep user must connect Intersight to their Email as part of the initial set up process.
Integrate with Email
Navigate to Settings> Connections and select your email provider. You will then authenticate with your email provider, and Intersight will start the import process.
Notes: Depending on the volume of your mailbox, first-time import may take several hours or more.

Intersight automatically uses found contacts (email alias) to map emails to Opportunities/Deals and their owners.
IMPORTANT: Once you have completed the steps outlined above, allow an hour for the data sync to finish. After that, you can continue with setting up Stage Mapping, Guidance Configuration, and Smart Field Suggestions.
4. Configure Deal Stage Mapping ("Stage Configuration")
Note: Before you can use Stage Configuration, Guidance Configuration, or Smart Field Suggestions, please ensure you have at least 10 opportunities and about 15 transcripts or emails ingested.
Head to Settings, click on "Stage Configuration". To ensure that your sales reps see only the guidance topics most relevant to the current stage of the deals, please map your CRM deal stages to Intersight's deal stages. Intersight's AI Guidance engine uses seven deal stages:
- Discovery
- Evaluation
- Proposal
- Closing
- Closed Won
- Closed Lost
- Remarket
Note: Stage Configuration will become available to configure within a few hours after setting up the CRM connection.

After having configured deal stages, you will be able to set up Guidance Configuration to instruct Intersight on the specific set of historical deals data Intersight AI will use to generate guidance for your sales reps’ current deals.
5. Set Up Guidance Configuration
A. Choose how far back you want Intersight to look to pull your sales activities based on Deal Closed Date (the date and time when the deal was marked as "closed won" or "closed lost" in your CRM).

B. Optionally, you can use various CRM filters to instruct Intersight to only process the sales activities of specific deals/opportunities rather than all deals.

C. Configure Similarity: Tell Intersight how you segment your market. Select the attributes you want Intersight to use to find and group similar deals together, so it can recommend tailored guidance to each open Opportunity based on what's worked to win similar Opportunities historically. The specific attributes for each Opportunity come from your CRM.
We recommend that you carefully review your similarity selections to ensure they are aligned with your company strategy, desired territory management, and segmentation approach.

D. Review your selections. You can click "Back" and edit previous selections if needed.
Once you hit "Save and Start Syncing", Intersight will start using your selections to generate tailored guidance for your sellers' active deals.

Note: Depending on the volume of data we process from your systems, Intersight may take several hours to fully process your data and turn that into deal-specific guidance for your sales reps. Please allow several hours for the process to finish.
6. Smart Field Suggestions
This feature uses AI to analyze all deal content (e.g., meetings that occurred and emails sent and received) and automatically suggest field updates for the fields you’re tracking in your CRM. Intersight can present the suggested values to the reps for review and approval, or the enterprise admin can allow Intersight to automatically write the suggested field updates to their CRM.
This means your reps spend less time typing, and your leaders gain a trustworthy, real-time view of every deal’s true stage and health.
How to set this up:
Once your Intersight workspace is connected to your CRM (Salesforce or HubSpot), Intersight automatically recognizes all the fields you’ve set up — including custom ones — for Accounts and Deals/Opportunities.
Go to the "Smart Fields Suggestions" tab and go through the set up flow.
From there, you can:
- Select which fields Intersight AI can update or generate values for (such as MEDDICC fields, next steps, decision criteria, or win/loss reasons).

- Describe each field’s purpose to help our AI understand what kind of information belongs there.

- Choose whether you'd like Intersight to auto-write back specific fields to your CRM.
You can choose from one of two models:
- AI-suggested mode: Intersight flags potential updates, allowing deal owners to review, edit, and approve before changes are written back to CRM.
- Auto-update mode: For mature teams, Intersight automatically writes back field values whenever it’s confident the extracted information is correct.
If you would like Intersight to automatically write back field values to your CRM, turn on the "AI Auto-Updates" toggle.

7. User Management
You can head to "User Management" and start adding Sales Leaders and Sales Reps to your Intersight environment, using their corporate email address. Added users will be able to log into app.intersight.ai with their corporate email address, hit "forgot password", receive a one-time password to log in, and then create their own password.
